Understanding Your Area Report

Notes for better understanding:

Area reports are sent the first part of each month via e-mail to the Region Directors who distribute to their Districts. The reports are in an Excel format for custom sorting.

Members may be listed in only one location, which is determined by their home address. Please keep in mind that you may have Members in your “border Chapters” who will not appear on your specific Area Report as they live in a different state. For example, if a Member lives in South Carolina and participates in a Georgia chapter, the Member will be listed on the South Carolina report with a Georgia Chapter designation. The Member will not appear on the Georgia report.

Chapters are automatically assigned to new Members or Members who have a change of address based on their zip code. Each district is responsible for updating the Home Office with zip code changes. Special note: When working on the Area Reports you find there are a number of Members assigned to incorrect Chapters, this indicates that the zip codes typically need to be reviewed. The Home Office is completely dependent on District Directors for zip code updates and assignments.

When new Chapters are formed, zip codes may have to be moved from one Chapter to another. In addition, state and counties may change zip codes for zoning purposes. Please watch for new zip codes in your area and notify the Home Office if new zip codes need to be added to an existing Chapter. To prevent confusion, zip codes may only be assigned to one Chapter and changes to zip code assignments may only be authorized by the District Director. Zip code reports are released at the request of Region Directors or District Directors only. If you would like to see your zip code assignments, please e-mail gail@gwrra.org.

Keep in mind that all information on the area report is to be used for GWRRA business only. Please refer to your Officer Resources Link at www.gwrra.org for a complete statement on GWRRA Policy regarding reports.

COLUMN	TITLE	EXPLANATION
A	NEW MEMBERS	New members have a “Y” in this column.
B	OFFICER	Officers are designed by a special color code on the listing.
C	CHAPTER OVERRIDE	The Member chooses to participate in a Chapter that is outside of their zip code. The override simply means the Chapter assigned is at the Member’s request.
D	MASTER NUMBER	Number assigned to the Member who is a Master Tour Rider (Level IV) in the Rider Education Program.
E	TOTAL SPON	Number of Members individual has recruited since becoming a Member.
F	YTD SPON	Number of new Members individual has recruited during the current year.
G	GW_ID	Membership number.
H	LNAME	Last name of the Member.
I	FNAME	First name of Member.
J	ADDRESS	Street address of Member.
K	CITY	City in which the Member lives.
L	STATE	State in which the Member lives.
M	ZIP	Zip code where the Member lives. Zip Code determines the Chapter assignment.
N	PHONE	Member’s phone number.
O	EMAIL	Member’s e-mail address.
P	JOINDATE	Date the Member joined.
Q	TERMDATE	Date the Member’s Membership expires. Life Members indicate an expiration date of xx/xx/2099. Note: Expired Members remain on the Area Report for 90 days and are then dropped from the report. Expired Member Reports are available upon request.

Hot Lists

Hot lists contain the name and contact information of individuals who have expressed an interest in GWRRA but have not paid their Membership fees. For example – Join Now Pay Later, Hanger Tags or Web guests. Please have your recruiters work the Hot List first. The Hot List is the key to bringing in new Members to your Chapter.
